Preservation Introduction
Through Preservation, Admin can create a Preservation template that:
•Must contain a Preservation Template Name
•Must contain at least 1 activity
Each Template must contain 1 activity:
•Require a name
•Require a description
•Could contain estimated labour hours
•Requires a frequency
Modifying a Template
•No tags are associated with the preservation template
Since the changes will not affect any tags the admin can change anything about the template including deleting the template.
•Tags are associated with the preservation template but none of the activities have started.
The template cannot be modified while the association exists so the admin must delete all association first and then they can change the template and re-add the associations.
Since the activities are created for the following 2 years the association must be removed first and then re-add after changes are made to insure the activities are correct.
•Tags are associated with the preservation templates and at least 1 activity has started.Similar to the above the template cannot be modified while the associations exist. Since activities has started using this template the equipment-template associations that do not have activities started can be deleted but the others cannot. Those associations can only be closed, which will stop the recurring activities from continuing but will retain the history of the activities completed or in progress. The admin must close or delete the associations and then create a new template with new associations.
Tag – Preservation Template Associations
In the “Admin” Module for the Preservation the admin can manage all the Tag and Preservation Template associations. There are 5 stages for a tag-template association:
•Not started – When a new association is created by default it is set to the “Not Started” stage. Once an activity is started the stage for the Association is changes to the “Started” phase.
•Started – Once at least one activity is started the entire association is set to the “Started” stage. The association in the “Started” stage can only be changed to the “In-Active” or “Closed” stage.
•Deleted – An association can only be deleted if that association is in the “Not Started” phase. This will update the association to deleted and will not be visible to the user viewing the associations.
•Stop/In Active – If the association is currently in the “Started” stage and the admin requires the activities to stop for this association but still requires other associations to continue for the tag, the admin can switch the association to the “In-Active” stage. This will remove all future activities until the association is switched to the “Started” stage or “Closed” stage.
•Closed – The “Closed” stage is a preservation complete stage for the entire equipment tag. If a tag is marked as preservation complete all associations for that tag will be changed to the “Closed” stage.
In the “Admin” module the admin can create multiple associations per tag and can change the stage of those associations. To make it easier for the user to recall what exactly is associated with a tag or what activities are in a template. In the “Admin” module, when a tag is selected, all associations are shown with their current status, when an association/template is selected the activities for that template are shown.
Job Cards
Once the templates have been created and the associations between the template and tag created, a set of activities are created for the tag with a specific activity date. After all the setup has been completed the user requires a method to view the activities to be completed for specific tags on specific dates and a method to show those activities as completed. This can be done using the “Job Card” module. There are 3 methods for these activities to be viewed and updated:
•In the X4D application:
In the “Job Card” module the user is shown a list of filters to choose from that include: Activity Date range, tag number, system number, area, etc. By default the filters are set to all activities with an activity date in the current month.
After the user selects all the filters they can click the run the job card to generate all activities that match those filters. From here the user can view all the activities and by selecting an activity the user can enter the activity complete information (closed date, closed by, remarks).
•Using an Excel Export (Bulk Viewing/Updating)
In the “Job Card” module after the filters are chosen and the job card is run there is an option to export to excel. This export will contain 3 columns at the end for the complete information (date, by and remarks). The user can fill out the complete information as the activities are complete.
Once the user is ready to send the data back into the X4D system they can go into the “Job Card” module and use the import button to import the excel document. Once the document is imported, all the activities and updates in the document will be shown in X4D, the user can confirm and sync the changes or cancel the operation,
•Using the mobile Preservation app
Similar to the first method, on a mobile device the user can run the job card based on the selected filters and updated the completed activities one by one.
